China Sourcing Insights
Choose payment terms that match your production milestones—not just the lowest transfer fee.
Quick answer: Agree what the seller must deliver, verify the legal counterparty and payment beneficiary, select a payment route with a clear record, and make each payment milestone conditional on specific evidence. A deposit is a commercial decision, not a proof of trustworthiness. A bank transfer receipt confirms a transfer—not the quality of the goods.
The most expensive payment mistake is often made before anyone clicks “send”: product specifications are vague, the recipient has not been checked independently, or the balance is due before the buyer can identify defects. This guide is designed for small importers, private-label brands and procurement teams placing a first or unfamiliar order from China.
Decide the payment structure before choosing the channel
A supplier can offer different payment schedules for the same product. Before comparing methods, ask what you are actually committing to, and what evidence you will have at the next milestone.
| Question | What the buyer needs to confirm | Why it matters |
|---|---|---|
| Who sells the goods? | Full Chinese legal name, contract party, invoice issuer | Avoids confusion between a salesperson, factory and trading entity |
| What is being purchased? | SKU, version, quantity, material, packaging, tolerances | Stops disputes over “similar” products |
| What triggers payment? | Deposit condition, production milestone, balance condition | Prevents balance payments becoming automatic |
| What happens after failed checks? | Rework, reinspection, schedule and cost responsibility | Provides a defined process before a dispute starts |
| Which party ships? | Named delivery term, named place, documentary evidence | Connects payment to the agreed shipment scope |
A useful purchase order identifies the buyer and legal seller, final product specification, approved sample reference (if any), quantity, total price, currency, schedule, packaging, delivery term, and handling of changes. If the supplier cannot explain a mismatch between the quotation and invoice, resolve it before paying.
Are “30% deposit, 70% balance” terms safe?
A deposit-and-balance arrangement is encountered in some China sourcing transactions, but 30/70 is not a universal rule, recommendation or safety guarantee. The appropriate structure depends on order size, tooling, supplier history, material commitments, risk of defects, relationship and bargaining position.
For a first order, compare the evidence available before the balance rather than concentrating only on percentage. You may negotiate a milestone that allows an agreed pre-shipment inspection and correction of reported issues before final payment. Whether a supplier accepts such a condition is commercial negotiation, not something an article can guarantee.
Illustrative scenario: a $6,000 first order
This is a hypothetical example, not a quotation or recommended payment policy. Under a proposed 30/70 schedule, the deposit would be $1,800 and the balance $4,200. Before accepting it, ask: What exactly authorises release of $4,200? Photos only? Completion notice? Inspection against an agreed checklist? Is reinspection covered after rework? Is the shipment deadline affected? The risk is in the unanswered questions, not in the arithmetic.
Choose between marketplace payment and direct transfer
Eligible Alibaba.com Trade Assurance orders. Alibaba.com says that buyers should pay through its platform and avoid off-platform payment when using its protection. Check the actual order, payment options, policy and applicable dispute rules; not every supplier, order or dispute has the same coverage. Make sure the product specification and delivery commitments are present in the protected order record.
Direct supplier bank transfer (T/T). This can be part of a normal B2B purchasing process, but the bank channel does not independently check the product specification or enforce inspection outcomes. Confirm with your bank the recipient details, currency, remittance fees, intermediary charges and whether the transfer can be recalled. Recoverability is not guaranteed.
Other methods or credit arrangements. Availability and protections vary by buyer, provider and supplier. Compare the transaction-specific terms instead of assuming that an unfamiliar method is safer or cheaper.
The five-step bank-detail verification check
- Record the counterparty: take the legal company name from the contract or verified registration record, not just a WhatsApp display name.
- Compare the beneficiary: check who is receiving the funds and whether the name aligns with the agreed seller. A difference needs a documented explanation; it is not automatically fraud.
- Verify independently: confirm bank details using a previously verified phone number or established second channel—not the contact information included in a suspicious account-change message.
- Capture approval: keep the invoice version, verified account details, confirmer, date, and any differences resolved.
- Recheck changes: repeat the independent verification if the invoice or bank account changes, even if the message appears to come from the same email address.
The FBI’s Internet Crime Complaint Center warns that business-email-compromise scams can redirect genuine supplier payments; it recommends secondary-channel verification for requests to change account information. Warning signs that should pause payment
- A last-minute “new account” email pressures you to transfer urgently.
- The legal seller, invoice issuer and beneficiary differ without a clear documented reason.
- The supplier refuses to put product details, milestones or dispute steps in writing.
- A seller asks you to move an eligible protected marketplace order off-platform without explaining the loss of protections.
- Production or inspection results are described only as “finished” with no agreed evidence.
A warning sign does not by itself prove misconduct. It means the buyer should stop, clarify and verify before committing further funds.
A pre-payment checklist you can actually use
| Check | Evidence to keep | Status |
|---|---|---|
| Seller identity | Legal name and order document | Pending / Complete |
| Specification | Versioned product sheet and approved sample | Pending / Complete |
| Price and scope | Signed or acknowledged quotation/order | Pending / Complete |
| Payment triggers | Milestones and acceptable evidence | Pending / Complete |
| Beneficiary check | Independent confirmation record | Pending / Complete |
| Inspection arrangements | Scope, date, failure and rework process | Pending / Complete |
| Shipping basis | Named term and named place | Pending / Complete |
| Platform or bank rules | Current applicable payment terms | Pending / Complete |
Before you transfer, share the checklist internally. Any “Pending” entry that could change who is paid, what is delivered, or when the balance is due should be resolved first.
A supplier message you can adapt
Before we arrange payment, please confirm your full legal company name, invoice issuer and payment beneficiary. Please also confirm the final product specification/version, agreed quantity, payment milestones, what evidence is required before the balance, the delivery term and named place, and how failed inspection items will be corrected. If payment details have changed, we will confirm them through an existing independent contact channel.
Frequently asked questions
Is T/T a normal way to pay a Chinese supplier?
T/T refers to a telegraphic or bank transfer and is used in commercial purchasing. Whether it is suitable depends on the seller, payment documentation, bank checks and the protections in the overall transaction.
Can I treat a paid Alibaba order as fully risk-free?
No. Review the actual Trade Assurance eligibility, terms, order description and dispute process. Payment protection is not a substitute for supplier evaluation, clear specifications or inspection.
Should I pay the final balance before the goods leave China?
The agreed contract governs the timing. If you need inspection evidence or rework before paying, negotiate and record that condition before ordering rather than trying to add it at the last minute.
